Voice Concierge · AI phone concierge

Put the phone down. The call is covered.

RAYN answers the phone in your venue’s voice, around the clock — the calls you’d otherwise miss after hours, on hold, or when the floor is slammed. It checks live availability, books the table, greets regulars by name, and hands the moment to your team when it matters.

CallerGood evening — I’d like to bring four in this evening. Is the terrace free?

RAYNLet me look for you. I can seat four on the Garden terrace at 8:15, or the window bar at 8:30 — which suits you?

The problem

Every call that rings out is a booking that went elsewhere.

The phone is still where the highest-intent, highest-value bookings begin — the large party, the celebration, the regular. And it is the channel a busy venue is worst at answering.

It rings out at peak

The one time a guest calls is the one time every hand is on the floor — so the phone rings out, and the booking goes to whoever picked up.

Voicemail nobody returns

A message left at eight on a Friday is a booking by the time anyone hears it — usually somewhere else.

After-hours demand, lost

Guests decide late. A venue that only answers in service hours misses the enquiries that arrive once it has closed.

The phone pulls the host away

Every call answered by a person is a person taken off the door, the floor, or the guest in front of them.

How it works

From the first ring to a confirmed table.

Four steps on one call — answered, understood, checked against the live book, and either confirmed or handed to your team.

  1. 01

    The call is answered

On the first ring — no hold, no queue — in your venue’s voice and tone, day or night.

  2. 02

    The intent is understood

Date, party size, occasion and the area they want — captured as structured booking intent, not a note.

  3. 03

    Availability is checked live

Against the same canonical availability your floor runs on — never a promise the room cannot keep.

  4. 04

    Booked, or handed over

The table is confirmed on the call, or the moment routes to your team with the full context intact.

Book · change · ask · confirm

The whole call — in the language your guest is speaking.

Not a menu of options. A real exchange: it takes the booking, changes one that exists, answers the question, or confirms the table — and it does it in the caller’s own language. Choose an action, then hear it in English, Arabic or Hindi.

On the call+971 4 ••• ••42

Spoken firstThis call is answered by an AI concierge and may be recorded.

A table taken end to end — checked against the live book and confirmed on the call.

Tuned live for English, Arabic and Hindi — and it also answers in Urdu, French and Russian. The caller speaks; the concierge replies in their language, and switches mid-call if they do.

Beyond the booking

The touches your best host would add on the phone.

  • Suggests real tables, spoken

It reads out a short shortlist of tables that are genuinely free for the night — a booth, somewhere private, in the Garden — described by character and area, not a list of times.

  • Sends the visual link on request

If the caller would rather choose their own table, it texts a deep-link straight into the visual booking flow, with the date, time and party already filled in.

  • Captures what it cannot close

A fully-booked night becomes a real waitlist place; a request the team should handle — a taxi, a cake, a dietary note — lands typed in the operator queue.

Before they say a word

It knows who is calling — on the first ring.

The moment the phone rings, RAYN matches the number to your guest record and answers a returning guest by name, with the table they usually take already in mind. A first-time caller simply hears your venue’s welcome. No name is spoken unless the guest is genuinely recognised — recognition is a courtesy, never an exposure.

  • Matched on caller ID against the one shared guest record
  • Greeted by name, with their usual table in mind
  • Falls back silently for anyone it does not recognise

Amira

Usually the Garden terrace, party of four

Welcome back, Amira. Lovely to hear from you — shall I see if your usual booth on the Garden terrace is free tonight?

Voice, meet visual

The caller who would rather see the room.

When a caller would rather choose their own table than be read a shortlist, the agent sends a deep-link straight into the visual Pick-Your-Spot flow — the date, time and party already filled in. The call and the widget are the same booking, on the same layer.

Would you prefer to choose your own table? I can send you the link now.

One system underneath

The voice line is not a separate tool. It is the same layer.

One booking layer

Availability, holds and the guest record are shared with WhatsApp, the website and the floor — the voice line reads and writes the same single source of truth.

One mutation path

Every change the agent makes goes through the same canonical booking RPCs as your team, so the phone can never contradict the book.

Escalation by design

Anything complex or sensitive routes to a human — with the call’s context carried across, so the guest never starts again.

Why you can put your name on it

A concierge you can trust with the phone.

What separates a voice that merely sounds convincing from one you can actually leave answering your line is what it refuses to do.

01

It never says “booked” unless it is

Every reservation runs through the same booking engine as your floor — deposit policy, allergy gate and idempotency built in, so a caller is never double-booked. The spoken confirmation comes only after the table is genuinely held. A write that fails gets an honest “I couldn’t do that”, never a false confirmation.

02

It knows what not to answer

Ask about allergens or alcohol and it will not improvise. Those questions are answered from the venue’s own facts, or handed to a person — the model is never given room to over-claim on the things that touch a guest’s safety.

03

It recognises without exposing

A returning guest is greeted by name; an unknown caller is never profiled. Every call opens with a spoken notice that it is answered by an AI and may be recorded — deterministically, on every call, not left to the model.

For the operator

Set the voice. See every call. Roll it out.

Choose the voice

Audition the available voices and pick the one that fits the room — set once, server-side, and it answers in that voice from then on.

Every call, summarised

An AI summary and full transcript for each call sit in the console, so a manager can see what was asked and what was promised.

Usage you can see

The minutes each venue’s line actually spoke are captured as calls end, so the economics are never a guess.

Go-live, managed

A fleet view shows each venue’s readiness and its single next step, so rolling voice out across a group is a runbook, not a mystery.

Your number, kept

Keep the number your guests already know.

Calls to your existing line forward to RAYN, or the number is ported across — the guest dials exactly what they always have. The line runs on a licensed local trunk into RAYN’s voice layer, not an offshore redirect, so it is compliant and it sounds it.

Questions

Voice Concierge, answered.

Does it sound like a robot?

No — a concierge, not a chatbot. Calm, brief, in your venue’s tone, British English by default or the language you set. You audition the voices and choose the one that fits the room; it answers in that voice around the clock.

Can it actually book on the call?

Yes. It checks the same live availability your floor runs on and confirms the table on the call, through the same booking engine as every other RAYN channel. If the caller would rather choose their own spot, it sends a deep-link into the visual booking flow instead.

What happens when it cannot help?

Complex or sensitive moments route to a human with the full call context, so the guest never repeats themselves. Anything it cannot close is still captured — a waitlist place, or a message for the team in the operator queue.

Does it work with our existing number?

Yes. Keep the number your guests already know: calls forward to RAYN, or the line is ported across. It runs on a licensed local trunk into RAYN’s voice layer — not an offshore call-redirect workaround.

Does it recognise our regulars?

Yes. It greets a returning guest by name and knows the table they usually ask for, drawn from the one guest record shared across voice, WhatsApp, the website and the floor.
